This article provides information for Administrators about adding audio files to the Multi-level IVR Prompts Library.

1. Log in to the Rainbow Office Online account.
2. Go to Admin Portal > Phone System > Auto-Receptionist > Prompts Library tab.
3. Click Import Prompts or Record Prompts.

How to Import Prompts

Importing prompts lets you upload a .wav or .mp3 audio from your computer to the Prompts Library. This option works best if you prefer to upload a Professional Voice Recording and use it for your prompts.

1. Log in to your Rainbow Office Online account
2. Go to Admin Portal > Phone System > Auto-Receptionist > Prompts Library tab. 
3. Click Import Prompts.
4. Select the file to be uploaded, then click OK.

How to Record Prompts

Use this option to record Prompts over the phone or using your computer's microphone.

Record a Multi-level IVR Prompt Over the Phone:

1. Log in to your Rainbow Office Online account.
2. Go to Admin Portal > Phone System > Auto-Receptionist > Prompts Library tab.
3. Click Record Prompts.
4. Enter the Prompt Name to identify or describe the prompt that you are recording. 
5. Select the Phone tab.
6. Click the drop-down list under Call me at to select or specify a number, then click Call Now. RingCentral will call the number for you to record your prompt over the phone. 
7. On the call, you will be prompted to press 1 to proceed. Record your prompt, press # to finish, and then select from the following prompts:

  • Press 1 to save your recording.
  • Press 2 to listen to your recording.
  • Press 3 to change the recording.

 

8. Click Done.

 

Record a Multi-level IVR Prompt Using your Computer Microphone:

1. Log in to your Rainbow Office Online account.
2. Go to Admin Portal > Phone System > Auto-Receptionist > Prompts Library tab.
3. Click Record Prompts.
4. Enter the Prompt Name to identify or describe the prompt that you are recording. 
5. Select the Computer Microphone tab.
6. Click the Record button to start recording. Click the Stop button to finish. When you click Stop, click Play to listen to your recording or click Record to change your recording. 
7. Click Upload to save your recording to the Prompts Library. 
8. Click Done.
