This article provides an overview of the User section in the Rainbow Office Admin Portal.

The Users section allows administrators to manage and configure the different user extensions in the company. Admins can access the Users section by logging in to the Rainbow Office online account and navigating to Users.

This section is composed of the following tabs:

User List

Roles

User Groups

Templates

 

User List

This section displays the list of Users with Extensions and Unassigned Extensions. 

 

 

Users with Extensions

This tab allows admins to:

Search for users using their names, numbers, or email addresses

View user information

Add users and assigning extensions

Manage multiple extensions at once, including deleting and applying templates

Edit user information 

NOTE: You would still be able to search even when a column is not visible. For example, the email column can be hidden but you would still be able to search by email address and get results.

 

Unassigned Extensions

This tab allows admins to:

Search for users using their name, serial number, number, or sites

View the name, serial number, number, and site of an unassigned extension

Assign an extension to a user

Add an unassigned extension

Delete and change site for multiple users at a time

 

Roles

User Roles give admins the ability to control what users can do within the system without providing full administrator access. A Role is a collection of permissions that could be based on a job function. Permissions are assigned to Roles and Roles are assigned to users.

 

The Predefined User Roles and Permissions feature is available to all Rainbow Office customers. The Custom Roles and Permissions feature is available to Premium and Ultimate only for up to two or more users.

 

User Groups

The User Groups feature allows you to organize the users under a specific group to be managed by a group manager. 

Group managers can access or manage user groups using the Rainbow Office online account.

Templates

Templates allow an account admin to implement a set of configurations to multiple users at once through the Rainbow Office Admin Portal, reducing repetitive actions by applying the same settings to a group of users.
